AI & Data Use

AI should help with approved tasks, not take over private customer records.

Here is how RetainSimply protects customer data while using helpful assistant tools.

Customer data stays private

Private CRM data stays separate from public SpaceSimply pages, forums, listings, and ads. Public sharing is opt-in.

AI uses only needed context

When Pro assistant tools are used, RetainSimply sends only the CRM context needed for the selected task, such as drafting a follow-up or suggesting a customer match.

Suggestions require review

Assistant changes are saved as pending suggestions. Users approve updates before customer records, notes, tasks, or messages are changed.

No customer-data training promise

RetainSimply should not use private CRM data to train AI models. Assistant providers and settings must be chosen so customer CRM data is used only to complete the requested task.

Bring-your-own assistant account

If Pro later lets a customer connect their own AI account, the customer should see exactly which provider is connected, what context is being sent, and how to disconnect it.

Source-content only

Assistant drafts should be based on selected CRM records, templates, uploaded help content, or approved business notes. If the source is missing, the assistant should ask for review instead of inventing details.
